Academic misconduct investigations are impacted by a number of policy documents across Conestoga College. It is a good idea for faculty to familiarize themselves with all of these documents. The Academic Integrity Office can answer questions about the Academic Integrity Policy and Procedure, and the Academic Dispute, Resolution, and Appeals Policy and Procedure. Questions about other policies are better directed to the relevant offices.

Protection of Privacy and Personal Health Information
Student Academic Integrity Violations (AIVs) fall under the protection of privacy policy. Information about AIVs should be shared only as required to carry out the academic offences policy. Valid uses of this information include sharing with the Academic Integrity Office, with other faculty as specifically required to identify incidents or determine penalties, and with chairs or deans as required to determine penalties.
It is important not to share student information with outside sources, such as parents or employers. It is also important not to share student information with other students, such as by CC’ing two students who have been accused of copying from each other. If emailing multiple students at the same time, faculty should always use BCC.
Similarly, it is important not to enter student information into any tool that students have not given advance consent to use, such as Turnitin. This includes any outside “artificial intelligence detection” tools. Students have rights under both privacy and copyright law to consent (or not) in advance to the use of these tools.

Student medical information, as it relates to absences or academic misconduct, is protected by the Protection of Personal Health Information policy. In general, students are not required to provide doctors notes for short-term absences related to illnesses. Please contact your program coordinator for further information about program-specific policies. In cases where students may be required to submit these notes, they are private and cannot be shared with other staff. The Academic Integrity Office can discuss potential red flags with medical documentation with you, but please do not forward medical notes or other medical documentation to the Academic Integrity Office.
